About the role

TIAG is now hiring a Google Gemini Adoption and Training Specialist full time in support of our team at the Uniformed Services University of Health Sciences (USUHS). This Adoption and Training Specialist will lead workforce enablement for the USUHS in a remote capacity. This position requires an Active Secret security clearance, so US or Naturalized citizenship is required.

This role is responsible for translating Google Workspace, Gemini, AppSheet, and related capabilities into practical, mission-supporting workflows that improve staff productivity, automate routine tasks, and support academic and administrative operations. The specialist will drive the secure, effective, and responsible adoption of Gemini and Google-native tools across university departments while reinforcing approved data handling, human review, and compliance with university and DoW policies.

Key Responsibilities include:

Capability Development and Training the Trainer:

  • Design, develop, and deliver role-based training modules, workshops, office hours, job aids, and user guides for faculty, staff, and administrative personnel on Google Gemini and Google-native productivity and automation tools. Conduct 1:1 and small-group deskside coaching sessions to co-build Proof of Concept (POC) workflows alongside users, gradually transferring ownership and technical capability to the staff.

Prompting and Secure Use Instruction:

  • Teach users how to develop effective prompts, refine outputs, and apply Gemini to routine work while adhering to approved privacy, security, and data handling requirements. Emphasize proper handling of sensitive information and reinforce that AI-generated content requires human review and validation.

Workflow Automation and Productivity Enablement:

  • Partner with OCIO leads to identify and implement high-value use cases for Gemini and Google-native tools that reduce manual effort and improve productivity. Support practical use cases such as meeting summarization, drafting emails and briefings, spreadsheet assistance, document analysis, knowledge retrieval, workflow tracking, information collection, and repetitive administrative task automation.

Google-Native Tool Adoption:

  • Train staff on approved use of Google-native tools, including Gemini in Gmail, Docs, Sheets, Slides, Drive, Chat, and Meet, as well as NotebookLM, Google Forms, Google Sites, Workspace Studio Flows, AppSheet, and Apps Script to improve collaboration, information synthesis, workflow automation, and business process efficiency. Google’s Workspace documentation lists Gemini features across Gmail, Docs, Sheets, Slides, Drive, Chat, and Meet, and separately points users to Gemini Apps & NotebookLM as part of the broader Google AI toolset for work accounts.

Community of Practice Development:

  • Establish and lead an internal community of practice or “AI Champions” network to share approved use cases, prompting techniques, lessons learned, and examples of effective automation across the university. Lead “Demo Days”, community meetings, and reading/discussion groups to drive adoption and facilitate organic change.

Responsible AI and Policy Alignment:

  • Ensure all training aligns with university guidance, DoW information technology requirements, and responsible AI practices. Conduct user awareness sessions on risks such as hallucinations, bias, overreliance, and inappropriate data entry into AI-enabled tools.

Adoption Monitoring and Continuous Improvement:

  • Partner with users and department leads to quantify the Return on Investment (ROI) of deployed workflows and Gemini Gems, specifically tracking estimated hours of manual effort saved and measurable reductions in process bottlenecks. Gather continuous user feedback and analyze adoption trends to assess the maturity of GenAI and automation use across the university. Utilize these quantitative and qualitative insights to iteratively improve coaching strategies, update shared use-case repositories, and adapt support resources in response to evolving mission needs, DoD policy updates, and new Google Workspace capabilities.
  • A minimum of 3 years of experience in workforce training, instructional design, user adoption, or technology enablement is required
  • At least 2 years of experience supporting the adoption, training, or practical use of generative AI and Google Workspace technologies in an enterprise environment
  • A Secret clearance is required to start work, US or Naturalized Citizenship is a requirement
  • Demonstrated experience developing and delivering role-based training, job aids, workshops, and user support materials
  • Experience in identifying and implementing workflow automation and productivity improvements using Google-native tools
  • Experience supporting academic, federal, healthcare, or Department of Defense organizations preferred
