About the role


Position Overview

We are seeking a dedicated Executive Assistant and Office Manager to join a dynamic team supporting projects for the U.S. Navy's Next Generation Attack Submarine Program Office (PMS351) at the Washington Navy Yard. Your expertise and collaborative skills will directly influence the future of our military capabilities.

Note: This position requires the ability to maintain an active U.S. Department of War (DoW) Secret security clearance.

As the Executive Assistant and Office Manager, you will play a crucial role in providing programmatic support and ensuring smooth operations within a complex program environment. You will report directly to the Navy executive/senior level manager and support the Program Manager and Deputy Program Manager, actively engaging with senior executives and congressional staffers as required.

Your Responsibilities Include:

  • Providing counsel and support to senior leadership in daily office operations.
  • Managing the daily functional operations of a NAVSEA program organization.
  • Leading and overseeing the work of administrative, clerical, and logistical support personnel.
  • Facilitating development and implementation of processes to enhance efficiency and effectiveness.
  • Planning and accomplishing goals with minimal supervision, exercising creativity and independent judgment.
  • Ensuring compliance with established program office standards.
  • Conducting office management tasks including scheduling, correspondence, filing, and policy development.
  • Preparing, proofreading, and editing documents, presentations, and reports.
  • Coordinating meetings, including agenda preparation and tracking action items.
  • Arranging travel logistics and processing expense reports per company policies.
  • Acting as a point of contact for internal and external communications.
  • Providing administrative support to various projects and maintaining project documentation.
  • Maintaining accurate records and ensuring data integrity and confidentiality.
  • Managing office supplies inventory to ensure necessary materials are available.

To Succeed, You Will Need:

  • An active DoW Secret security clearance.
  • A Bachelor's Degree or relevant experience equivalent to a degree.
  • 5+ years' experience in a government or defense-related environment.
  • 2+ years of supervisory experience in an office setting.
  • Excellent written and oral communication skills.
  • Strong organizational and multitasking abilities to prioritize tasks under deadlines.
  • The ability to work independently and as part of a cohesive team.
  • Proficiency in Microsoft Office Suite, Microsoft Teams, and Microsoft SharePoint.
  • The ability to interact with senior management on complex technical issues.
  • A strong customer support mindset and commitment to teamwork.
  • Willingness to work onsite at the Washington Navy Yard five days a week, excluding government holidays.

Additional Desired Experience:

  • Experience within the submarine community, preferably in a senior enlisted role.
  • Previous experience as an executive assistant supporting senior staff within NAVSEA.
  • Familiarity with government contracting processes and policies, particularly within Team Submarine.
  • Experience with the Defense Travel System (DTS) and managing access requests.
  • 10+ years in Navy acquisition and Submarine Programs.
