About the role

Title: Legal & Compliance Operations Associate

Department: Legal & Compliance

Reports To: General Counsel

Location: Remote

FLSA Status: Exempt

Salary Range: $75k - $80k

Position Summary:

Position Summary: The Child Center of NY, Inc., a not-for-profit social services agency service serving children and families throughout New York City, is seeking Legal & Compliance Operations Associate to serve as a key partner in our Legal & Compliance Department. Reporting to the General Counsel, this role is designed for a self-motivated professional who enjoys building efficient systems and ensuring operational excellence within a mission-driven organization.

The ideal candidate thrives in an environment where they are given the autonomy to manage their own workflows while remaining deeply connected to the team’s goals. You are someone who takes pride in the "craft" of compliance—meaning you value precise writing, thorough research, and the satisfaction of a well-organized project. We are looking for a colleague who is naturally curious, eager to learn the nuances of social services regulation, and committed to supporting our mission with professionalism and integrity.

What You’ll Bring to the Team:

  • Proactive Problem Solving: You enjoy staying one step ahead. Rather than just identifying a challenge, you come to the table with a proposed solution or a draft in hand.
  • A Commitment to Quality: You have a high bar for your work product. Whether it’s a HIPAA records request or a regulatory filing, you understand that the details matter and that your work reflects the department’s standards.
  • Collaborative Remote Presence: You value the flexibility of remote work and understand that it works best when paired with high visibility. You stay engaged with colleagues, participate actively in meetings, and maintain a consistent presence during business hours to ensure the department runs smoothly.
  • Strong Communication & Research: You can distill complex information into clear, professional writing. You are comfortable diving into new regulations and are willing to be trained on the specific legal frameworks that govern our work.
  • Professional Empathy: You treat every stakeholder—from agency staff to external partners—with respect and kindness, recognizing the sensitive nature of the human services we provide.

Key Responsibilities:

  • Assist with day-to-day operations of the compliance program, including helping to ensure adherence to internal policies, regulatory requirements, and external reporting obligations.
  • Serve as the primary administrator for the department’s contract management system
  • Organize and maintain legal and compliance records, including incident documentation, board governance materials, and policy archives.
  • Support HIPAA compliance efforts, including responding to medical records and information requests, tracking access logs, and maintaining related documentation.
  • Assist with the documentation and tracking of compliance-related incidents and follow-up actions across a variety of programs and departments.
  • Help draft, format, update, and distribute agency policies and procedures in collaboration with legal and compliance leadership.
  • Track policy dissemination and assist with staff acknowledgment processes.
  • Conduct legal and regulatory research to support compliance and risk management activities.
  • Provide administrative support for audits, internal reviews, and external monitoring activities.
  • Support the department’s response to subpoenas, contract reviews, and information requests, as needed.
  • Coordinate scheduling, file management, and workflow tracking for the Legal and Compliance Department.
  • Perform other duties as assigned to support the legal and compliance needs of a growing and diverse nonprofit agency.

Qualifications:

  • Minimum of two (2) years of experience as a paralegal, compliance specialist, or similar legal/compliance support role.
  • Prior experience in healthcare, behavioral health, or human services settings strongly preferred.
  • Knowledge of or exposure to HIPAA, 42 CFR Part 2, and general regulatory compliance principles.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism.
  • Excellent organizational, analytical, and communication skills.
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook, SharePoint); familiarity with compliance management systems or document management software a plus.
  • Associates Degree or Bachelors Degree preferred.

Work Environment:

  • This is a fully remote position
  • Must be available to work standard business hours (Eastern Time).
